The EIB, the European Union's bank is seeking to recruit for its Group Corporate Services Directorate (GCS) – Group Digital Office (GCS -GDO) - Data & Information Solutions Department (DIS) –Information Operations Division (IO) – Central Archives & Content Management Support Unit (CACM), at its headquarters in Luxembourg an (Associate) Business Analyst - Document Management*. This is a full-time, temporary position at grade 4/5.

Job description

This concerns a temporary position with a maximum contract length until 15th December 2024, as this is a temporary replacement assignment, no extension or conversion of the contract is foreseen.

Panel interviews are anticipated in November.

Purpose

The Central Archives & Content Management Support Unit is responsible in providing bank-wide day-to-day management and functional support relating to physical and electronic archives and document management.

Over 40 business applications interact with our record management repository, based on OpenText Content Server. Such interaction takes place via interfaces for capturing records, injecting iterative file structures, permissions, metadata, documents, as well as cross-referencing. The interfaces need to be planned, developed, tested and implemented. Adjustments to existing automations take place on a regular basis.

You will identify and understand business needs and determine the requirements and specifications to improve and strengthen business processes in accordance with the EIB record management rules, information security, confidentiality and disclosure; whilst respecting specific operational processes.

Operating Network

You will report to the Head of the Central Archives & Content Management Support Unit and work in in close collaboration with the Central Archive Service, the project owner and the solution provider.

Accountabilities

  • Understand business processes and guide business stakeholders with regards to record management requirements
  • Contribute to align requirements for physical and electronic record management processes and procedures
  • Plan, coordinate and manage the eArchiving Automation Projects as part of the EIB’s Digital Transformation initiative
  • Liaise with the teams with a view to guarantee delivery within the stipulated timeline and to the expected level of quality
  • Provide guidance to the front-end application owners on record management related aspects for inclusion in the project requirements

Qualifications

  • University degree preferably in Information Management or Information Technology
  • At least 3 years of relevant professional experience in the business/ functional analysis preferably in the record management domain
  • Knowledge of project management principles, methods and practices, preferably in an Information Technology environment
  • General knowledge of or interest in record management (standards and best practices)
  • Experience of OpenText Content Server Record Management Module would be an advantage
  • Knowledge of Microsoft Sharepoint would be an advantage
  • Excellent verbal and written English and/or French(*) language skills and a good command of the other.
